Out the door in minutes.

Quote automation, from inquiry to sent proposal.

An inquiry looks different every time. A quote should not have to wait for someone to be free to write it.

Where the inquiry comes from

Wherever the client chooses.

  • An email with a specific request or an attached list.
  • A form on the website.
  • A phone call, logged as a short note.
  • An order through a retail chain or its portal.

The system accepts the inquiry however it arrives and starts preparing it immediately, instead of waiting for it to reach a free colleague. It makes no difference whether the client writes an unstructured sentence in an email or attaches an exact list of codes — both go through the same path.

What the system gathers

Everything that goes into the quote.

  • Current prices for the requested items or services.
  • Stock — so nothing out of stock gets offered.
  • Terms — discounts, payment deadlines, minimum quantities.
  • Delivery or completion timelines.
  • Your own format — a quote that looks like it always has, not like an outside template.

All of this comes from the places you already pull it from by hand — a price list, a stock spreadsheet, terms agreed per client. The system gathers them all at once, instead of opening each source in turn.

What the client sees

A quote ready to send.

For example: an inquiry arrives at 9:12, and by 9:20 the proposal is already waiting for approval — with line items, prices, a validity period and terms, formatted in your own document. Timing depends on the size of the inquiry and the number of items; the example is illustrative.

The client receives a quote that looks the way it always has — with your logo, numbering and wording. The only difference is when it went out: not when someone happened to be free, but right after the inquiry.

Who approves

A person presses "send".

The system prepares the proposal — sending it stays your choice. For regular clients and standard inquiries, approval can be a quick glance; for new clients or non-standard terms, you decide explicitly on every line.

Where that line sits is set by you during implementation — how much trust you give an automatically prepared quote, and where you want an explicit "yes" from a person before it leaves the company.

If the quote starts from a document you still copy by hand, see Documents. If prices depend on stock you would rather not chase manually, see Warehouse.

Why speed matters

The client is usually asking elsewhere too.

An inquiry rarely goes to you alone — the client usually waits for a few quotes to compare. The first proposal does not always win, but the late one almost never does. Quote automation does not replace your judgement on price and terms — it simply stops the wait itself from being the reason you lose the order.

Questions

What people usually ask.

How fast does the quote go out?

It depends on the size of the inquiry, but it is usually a matter of minutes, not hours — the system gathers prices and stock all at once, instead of manually, line by line.

Can a client receive a quote without a person reviewing it?

They can, if you decide that for a specific type of inquiry. By default we recommend a review before sending — you decide where that line sits.

What if the inquiry is non-standard, outside the usual catalogue?

The system prepares what it recognises and flags the rest for a person to add by hand. It does not guess terms it has no basis for.

Does it work with my own quote format — logo, terms, numbering?

Yes, the quote is prepared in your own document and numbering, not a generic template. This is set up during implementation.

Is it connected to warehouse stock?

Yes — if stock is monitored through the system (see Warehouse), the quote can check stock automatically before offering an item.

How much does it cost?

It starts with an AI audit for €190, which shows which part of the quoting process is worth automating first. Implementation is €5,000–15,000, depending on scope.

Will the quote look "automated" to the client?

It should not — it goes out in your own format, with your own wording and numbering. The client sees the quote they always get, just earlier.

One conversation. A written plan. Your decision.
