The documents file themselves.

The documents file themselves.

Incoming invoices, bank statements and per-client filing, without manual entry.

An accounting firm does not drown in hard cases. It drowns in sameness: the same documents, from the same clients, every month, named differently every time.

What the month looks like

It is not the hard cases eating your time.

Every client sends documents whichever way suits them. One photographs them. Another forwards the supplier's email. A third brings an envelope on the last day. The files are called IMG_4821.jpg, scan0003.pdf and Invoice (2).pdf.

Before any actual accounting starts, someone opens each file, reads who the supplier is, what the amount is and which month it belongs to, renames it, files it and enters it. Across 40 clients that is a week a month — work that does not need an accountant, done by an accountant.

What we take over

Five things out of the routine.

  • Intake. Documents arrive by email, from a folder or as photos; the system gathers them in one place.
  • Reading. Supplier, number, date, net, VAT and total are extracted whatever the layout.
  • Renaming and filing. The file takes a name by your rule and lands in the right client folder, for the right period.
  • Bank statements. Movements are read and matched against invoices, including split payments where one transfer covers several documents.
  • Monthly reconciliation. What arrived, what is missing, which client has sent nothing for 14 days.
What you get

One email in the morning.

sample email, 07:30 Incoming documents — 1 September: · 63 documents from 11 clients, 61 read. · 2 need a human eye: illegible scan (client B), invoice without VAT number (client D). · Bank: 34 movements read, 31 matched to an invoice, 3 uncovered. · No documents for 14 days: client K, client M. Nothing else found.
What we do not do

We do not replace your accounting software.

No migration to a new program and no new screen for the team to learn. The system sits before the accounting software and hands it prepared data.

Professional judgement stays with you. Classifying a disputed expense, tax treatment and responsibility towards the authorities are yours. We automate the preparation, not the conclusion.

Neighbouring flows

These usually travel together.

If the question is really about the documents themselves, see Documents. For monthly client reports, Reports. Not sure where to start — the AI audit returns a written map of the three processes with the highest return. Full list: Industries.

Questions

What people usually ask.

Does it work with our accounting program?

Usually yes. The system prepares data and hands it over in the format your program accepts; it does not replace it. We check yours specifically during the audit before promising anything.

What about a document photographed at an angle?

Read in most cases. Below a quality threshold it is not guessed at — it is flagged for a human and appears in the morning email. Two flagged documents beat one quietly wrong.

Who is responsible if the system misreads an amount?

You are, as today — which is why nothing is finalised automatically. Readings are proposed rather than committed, and anything uncertain is flagged.

We have 40 clients with different rules. Is that too varied?

The variation is in naming and folder rules, described once. Reading an invoice is the same everywhere. Accounting firms actually do better than single companies, because the implementation cost spreads across many clients.
